Resource Notebook
A resource notebook I believe will help you remember the guidelines plus techniques to learn about your institution. It will assist you to improve upon what you already had and provide up-to-date information to prospective applicant accurately and quickly.
I think having this notebook will also keep you organized and not have to worry about misplacing anything.
