We had kept this information in a file but based on the information provided here, we are developing the binder for reference for all staff.

Provisional period-length of time from start of students first quarter that is required to show satisfactory attendance and grades.

Diploma mills- companies that sell forged diplomas or misrepresent themselves to be legitamate schools offering diplomas when they are not.

There are numerous terms and definitions we utilize at Kaplan as part of the admissions process. These terms are outlined in our training and subsequent documents we utilize on a daily basis. Examples of this:
Prospective Student: A student that has been in contact with the school but has not yet enrolled.
Financial Aid: is available for those students who qualify and is composed of grants, loans, scholarships, etc.
Enrollment: A student who has been through the entire admissions process and satisfied the admissions requirements as laid out in the school's cataolg.
Job Placement Assistance: A student service provided by our Career Services Department. This is a partnership between the department and the student to prepare them and assist them in the job process. It includes resume writing skills and review, interview skills, and coaching on professionalism.
Externship: A requirement of our allied health programs for the students to complete the course of study. They are required to satisfactorily complete a 160 hr externship prior to graduation.

I have kept several notebooks in the past. Some of the notebooks would contain every bit of info that I could locate regarding the school and the programs offered at the school. The rules of the institutions are always put in first. It is important to be in complience. It is helpful to see rules and regualtions as soon as you open then notebook.I would also keep notebooks containing info and notes about the prospects that I have contacted or seen. Keeping notebooks updated with school or prospect info helps to keep the admissions teams organized, knowlegeable and better prepaired.

I am currently evaluating the differences between working at institutions in Florida vs other states in which I have worked. I am learning that the entrance requirements at my present school are different. One thing that I have learned about my new school is that we have more stringent entrance assessment requirements than most of the other institutions that I have worked.

Some of the definitions that we use are things like Accreditation, enrollment, agent, etc. It's important to understand these terms because we are in constant communication with the students.

At my institutions a few of our terms or definitions are.

Lead: Information on a prospective student which has requested information about our school and its programs.

Application: Students must complete an application for acceptance to school prior to the completion of an Enrollment Agreement.

Essay: Student requesting acceptance to our institution must write an essay.

I found the definitions very useful!

I am new to admissions, but I've placed Basic college information, Catalog, School History, Tuition and expense, Student Services. I will collect a copy of the enrollment agreement, marketing materials and marketing plan, Policy and Procedures for the institution, employees, students and internship. In addition, more information will be acquired regarding placemet assistance (job search).

Much of the information still needed is related to the operational side of the school and should be provided to me over the next few days.

There is a wealth of information still needed before I begin speaking to prospective studends.

I would have to say that some of the more common terms and definitions used would be....

Scholarship
A grant-in-aid to a student. The offer of a grant-in-aid to an enrolled student to offset partial or complete costs of a course, program, certificate, or degree.

Enrollment
Registering a student to take programs or courses at an institution when such registration obligates the student to pay tuition to the institution and obligates the institution to provide instruction to the student.

Title IV
The federal allocation of funds for postsecondary education. Students who are eligible can use such funding at institutions which participate in such funding programs. Approval for participation requires that an institution be licensed or approved (where applicable) at the state level, accredited by a recognized accrediting agency that acts as a "gatekeeper" for such funding programs, and approved for participation by the US Department of Education, having been in operation for a specific amount of time and in good standing with all regulatory agencies under which the institution is licensed or which it is approved by.

Regulations
The rules that the institution must live by to retain its licensure approval.

Right now I'm saving the information to print, then I'll put together the notebook. I think it's a wonderful idea to have a resource notebook! There are so many things to remember and you never want to give the wrong information to a student. Having this handy will really help us out.

Application: completed by student for consideration of admission

Enrollment: student has been reviewed and accepted to the school

Financial Aid: the process of determining the cost and process for funding education

Accreditation: the governing body that determines standards for the school

Degree: one form of recognition that a student has completed a program

Of course we use the same common themes that have emerged from this discussion, enrollment agreement, programs and accreditation the most.

Program: A group of courses, taken in sequence to attain knowledge and leading to a certificate, diploma, or degree.

Enrollment: Registering a student to take programs or courses at an institution.
