Organizing the Paperwork

How are you organizing all the paperwork and information related to completing the admissions training?

It's a great plan! The beauty of the notebook is that it's ever evolving and easy to update.

I will be keeping a resource notebook/Binder that will help me to keep my information easily accesible aswell as give me the ability to update the information at great speed.

We keep all of the student's paperwork together in clear sleeve files in the Director's office. We have a check list and check off each required form as we include it in the file.

Maintaining my notebook with all information that I can get my hands on, it’s important. Also working with all the school staff it’s a key tool for my job. Going to the class room and listening to the student’s ideas and concerns. Making notes of all that to discuss with the School Director and teachers.
Being a admission office r it not just adding another student to the attendance list. It’s a lot more! I am proud of what I do and I am thankful for this forums that are letting me see a lot more.

We also have checklist where all documents needed have to be checked off and dated and signed. This way we have accountability also to make sure everything required is there from get go.

yes, our enrollment agreement and applications are all done online

The best way to develop a checklist is to start with the process. Determine the key components of the process and make sure to incorporate those items in your list.

We are implementing an admissions checklist, to be checked by at least 2 people. We are a very small training center. Our course is 10 weeks. Do you have any examples of admissions checklists?

At our institution we have a checklist system for basically every process. To ensure that all our incoming students have met the requirements for admission there is a checklist that has to be checked off for each qualification to enable them to be considered for acceptance into the program.
Each section of this training dealt with a different subject matter and topics relating to that subject so i have divided the four sections with color dividers and a checklist begins each section. I have also divided it into areas relating to students before acceptance, acceptance, enrollment and student affairs and assistance. I have also implemented noting which staff personnel works in which area and what their responsibilities are. I have placed the necessary paperwork for each category in that section. I have also created a section for the commission rules, laws, guidelines and regulations and a question and answer section. Then i ended by noting the renewal date for the admission course for next year.

Our School has an Admissions Coordinator who's job it is to go over each of the admissions documents using a checklist to make sure every t is crossed and i is dotted.

I have a folder with tabs of each month and the trainings available online and in the community.

My institution was recently licensed and I have just finished creating what you are describing with some of my coworkers. Each candidate will have a file with four sections (enrollment agreement, pre-requisites,financials & courses). The cover has the checklist that all forms are signed and the candidate was informed of all policies, rules, regulations, financials, credit transferbility.

Your process is a common best practice. Some schools add an additional review layer either by an admissions staff or the registrar.
