As per the recommendation of the training modules, I have created a Resource Notebook (or in my case, a binder) and put all of the pertinent rules, regulations, and documents covered thus far into it. I will also begin adding institution-specific materials in there once I complete the training.
As far as organization is concerned, I will start with institution-specific documents and will have an "index" in the back for all of the official rules and regulations as a reminder.
One way I organize information is through our school's database. It helps me keep track of people I have spoken to, what information I have for their file, what information is needed, and when to contact then to request that information. In addition, I use a folder which I attach a checklist to, so I know exactly what is and isn't in a student's file.
I am printing all of the documents on this site & organizing them in a binder, along with other pertinent information, like our catalog & other information on our programs. I put them in order, along with tabs to make them easy to locate.
I use a folder which has a checklist on the outside. It allows me to make sure I'm getting all the right docs. as we go thru the process. I keep an organizer handy too, in case I need to call a student to remind them bring in docs I may have missed to our next scheduled appt.
I keep most files electronically. They are organized by topic, with very specific titles. This way, I can access them extremely quickly and easily if needed. My office is rather mobile, so my laptop is my most convenient "notebook"
I also keep several documents handy, in printed form, in a notebook.
It's always great to stay organizing up-to-date. I'm register to get e letter from CIE and FAPSC.
I use a note book with tabs, and alphabetize the programs so they are real easy to reference.
Not all institutions have the same policies and procedures. They all have their own system of Organization Structures.
I am printing all the necessary information and putting everything three ring folder. I am including the school catalog for easy access and labeling all the tabs. Any information that I need to remember, I am highlighting it.
Everyday Admissions faced with more papers to be read, sorted, filed and disposed. The first step to paper management is not to let things pile up in the first place. Taking a few minutes each day to tackle the papers prevents it from suddenly becoming a daunting, time-consuming task.
I have two notebooks one has the catalog, admissions application and the required paperwork from NACCAS and the required paperwork from Title IV. The other notebook contains the rules, statutes and regulations which I frequently refer to. I also have a check list which is located in the first notebook along with the admissions applications. I agree that a check list should be used when admitting a new student. This will insure that all of the required paperwork is filled out and included in the new students file.
I also have a notebook with the catalog first as it has to be given to the student at least one week prior to the actual admissions process. Then I have the enrollment agreement along with the required NACCAS paper work and the required Title IV paperwork. I have a seperate notebook which holds all of the rules and statutes regarding admissions for our institiution. I can always refer to it when necessary. I also check the commissions web link for any updates at least once a month.
